How I use AI in my practice

I use Halaxy's AI Scribe as an optional aid to clinical documentation during some psychological consultations.

The purpose of using AI Scribe is to reduce the administrative burden associated with clinical note-taking, particularly during telehealth consultations, so that I can remain more fully engaged in the therapeutic conversation and have greater capacity for clinical reflection, formulation, professional development and research.

AI Scribe is used to assist with documentation. It does not replace my professional judgement and is not used to independently diagnose, assess, formulate, determine risk or make treatment decisions.

What happens when AI Scribe is used?

With your informed consent, Halaxy AI Scribe processes the spoken content of our consultation in real time to generate a transcription and draft clinical documentation.

Halaxy currently states that:

  • audio is streamed in real time and is not retained as an audio recording;

  • the transcription and generated summary are securely stored within Halaxy;

  • patient data is not used to train Halaxy AI;

  • AI-generated information is subject to the access controls applicable to clinical information within Halaxy; and

  • for Australian users, transcription data is stored using Amazon Web Services (AWS) infrastructure in Australia.

I review AI-generated documentation before relying on it as part of your clinical record. I remain responsible for the accuracy, completeness and clinical appropriateness of your health record.

AI systems can make errors, including mishearing words, omitting information or producing an inaccurate summary. AI-generated documentation is therefore treated as a draft and is subject to my professional review and correction.

What information may be used?

The Scribe processes information spoken during the consultation for the purpose of preparing clinical documentation.

Halaxy also allows selected information already held in your clinical record to be provided as context for generating documentation. I will only use information that is reasonably necessary for the clinical documentation task.

Retention of AI transcriptions

The AI transcription is distinct from the final clinical record.

I use Halaxy's available data-management settings to limit the retention of AI transcriptions and to avoid retaining transcription data for longer than is reasonably necessary for clinical documentation.

The final clinical record that I determine is appropriate to retain is managed in accordance with my clinical record-keeping obligations and Privacy Policy.

Privacy and security

Psychological consultations involve sensitive personal and health information. I take the privacy and security of this information seriously.

Use of AI Scribe forms part of my overall clinical documentation and information-management processes and is subject to my Privacy Policy and applicable professional and legal obligations.

Halaxy's AI Scribe information is provided by Halaxy and may change as the service develops. I review the suitability and privacy arrangements of the technology as part of my professional and privacy governance responsibilities.

Your choice

Use of AI Scribe is optional.

You may decline the use of AI Scribe or withdraw your consent at any time. Choosing not to use AI Scribe will not affect your access to psychological services or the quality of your care.

If you do not consent to AI Scribe, I will document your consultation without using the AI Scribe function.

You are welcome to ask questions about the use of AI Scribe before or during your care.
